Office English is its own dialect. You can be fluent in conversational English and still freeze up writing a formal email or sitting through a negotiation, simply because business vocabulary is learned separately, on the job, rather than in school. Here's a practical, situation-based vocabulary set to close that gap.
Email and written communication
- Follow up — to check on the progress of something after an initial request or conversation.
- Circle back — to return to a topic or task later.
- Per our discussion — a formal way of referencing something already agreed in conversation.
- At your earliest convenience — a polite way of asking someone to do something soon, without demanding an exact deadline.
- Kindly revert — commonly used in Indian business English to mean "please reply" (note: this phrasing is less common outside South Asia, so be aware of your audience).
- CC / loop in — to include someone in an email conversation, usually for visibility rather than direct action.
Meetings
- Agenda — the planned list of topics to be discussed.
- Action item — a specific task assigned to someone as a result of the meeting.
- Take this offline — to discuss something separately, outside the current meeting, usually because it's off-topic or too detailed.
- Table a discussion — to postpone a topic to a later time (note: in American English this can also mean the opposite — to bring it up for discussion — so context matters).
- Touch base — to make brief contact with someone, often to check status.
Negotiation and deals
- Leverage — an advantage that gives you more power in a negotiation.
- Concession — something you give up in a negotiation to reach agreement.
- Bottom line — the minimum acceptable outcome, or the final, most important point.
- Win-win — an outcome that benefits both sides of a negotiation.
- Non-negotiable — a term or condition that cannot be changed or compromised on.
Performance and reviews
- KPI (Key Performance Indicator) — a measurable value showing how effectively goals are being achieved.
- Stakeholder — a person or group with an interest in the outcome of a project or decision.
- Deliverable — a specific output or result expected from a task or project.
- Bandwidth — informally, a person's available time or capacity to take on more work.
Why direct translation often fails here
Many business English terms don't have a single clean Hindi equivalent — they're borrowed concepts (like KPI or stakeholder) that are often used in English even within Hindi-medium conversation. For these, understanding the concept through an example sentence matters more than finding a Hindi word to match it one-to-one.
A practical way to build this vocabulary
Keep a running list of unfamiliar terms from emails and meetings at your own workplace, and look each one up properly — with its example sentence — rather than guessing from context every time. Within a few weeks, most of the vocabulary specific to your industry will stop needing active lookup at all.
