Weekly Planning in a Notes App: A 15-Minute Sunday Routine
A simple weekly planning ritual using notes, checklists and reminders to set priorities, spread tasks sensibly and start Monday calmly.
A weekly plan gives you a bigger picture than a daily to-do list. It helps you see what matters, spot clashes and avoid the Sunday-night dread. It doesn't need a special planner; a notes app will do.
Why weekly
Daily lists tend to be reactive: you deal with whatever's in front of you. A weekly view lets you decide in advance what to prioritise, and to notice, on Sunday, that Thursday is already full.
The routine: 15 minutes
Set a repeating reminder for the same time each week, such as Sunday afternoon or Friday before finishing work. Then:
1. Review last week (3 minutes)
Open last week's note. What got done? What didn't? Why? Move unfinished items forward or drop them.
2. Check the calendar (3 minutes)
List fixed commitments for the coming week: appointments, meetings, events, deadlines, trips and social plans.
3. Choose three big priorities (3 minutes)
What are the three most important outcomes for this week? Write them at the top of the note. Being specific helps: "Finish draft of report", not "Work on report".
4. Add other tasks (3 minutes)
List everything else you need to do in a checklist, grouped by area: Work, Home, Health, Family, Money.
5. Spread the tasks (3 minutes)
Look at each day and assign tasks, keeping realistic limits. Aim for no more than three to five significant tasks per day. Put demanding tasks in your best energy times.

Reminders to set
Notes and ideas
Use reminders sparingly
Set reminders for time-sensitive tasks, such as calls or deadlines, and leave the rest on your checklist.
Leave breathing room
Don't schedule every hour. Overloaded plans fail, and failure erodes trust in the system. A buffer for the unexpected is realistic.
Include rest and personal time
Add exercise, hobbies and time with friends and family to your plan. If it isn't planned, it often doesn't happen.
Daily check
Each morning, look at the weekly note and pick today's tasks. In the evening, tick off what's done.
Weekly review
At the end of the week, note what worked, and what to change. Over time, you'll learn how much you can realistically do.
Common mistakes
- Planning too much.
- Not reviewing last week.
- Ignoring fixed commitments.
- Skipping the plan when busy, which is when it helps most.
Start this week
Create a new note today, titled with the date, and fill in your top three priorities.
