Recurring Reminders for Bills, Renewals and Routines

Which tasks deserve a repeating reminder, how to word and time them, and a starter list covering bills, renewals, checks and household routines.

Some tasks come back on a schedule, and forgetting them costs money or causes hassle: the insurance that auto-renews at a higher price, the vehicle test that lapses, the subscription you no longer use. Recurring reminders turn your memory over to a system.

What suits a recurring reminder

  • Repeating on a fixed schedule: monthly bills, weekly bin day, annual renewals.
  • Easy to forget but costly: late fees, expired documents, lapsed policies.
  • Routine maintenance: smoke alarm batteries, filter changes, car servicing.
  • Regular check-ins: reviewing subscriptions, backing up files, updating passwords.

Money and bills

  • Rent or mortgage payment: a few days before it's due.
  • Utility bills: once a month, to check and pay.
  • Credit card payment: before the due date.
  • Subscription review: every three months, check what you're paying for and cancel what you don't use.
  • Tax deadlines: a month before, and a week before.
  • Insurance renewals: a month ahead, so you can compare prices.

Documents and renewals

  • Passport expiry: set a reminder well in advance, since many countries require several months of validity for travel.
  • Driving licence renewal.
  • Vehicle tests, registration and insurance.
  • Professional memberships and licences.
  • Warranty expiry dates.

Home and household

  • Smoke and carbon monoxide alarm checks: monthly test, and battery replacement according to the manufacturer.
  • Boiler service: yearly.
  • Water filter replacement.
  • Bin and recycling days.
  • Cleaning routines.
  • Pest control or garden tasks.

Health and wellbeing

  • Dental check-ups and eye tests: at intervals recommended by your practitioner.
  • Vaccinations and screenings: as your health provider advises.
  • Medication refills: if you take regular medicine, a reminder to reorder before you run out, following your doctor's instructions.
  • Exercise and habits.

This is for personal organisation only, and not a substitute for medical advice.

Digital housekeeping

  • Backup checks: monthly.
  • Password updates and security reviews: a few times a year.
  • Clearing storage and unsubscribing from newsletters.

Word reminders as actions

"Renew car insurance: compare three quotes" is better than "Insurance". Include the next step, and note the amount or reference if useful.

Choose the right lead time

Set reminders early enough to act. A passport reminder a week before it expires is far too late; a reminder six months before is much better. For bills, aim for a few days before the due date.

Keep supporting information in notes

Store details, such as policy numbers, provider names and how to renew, in a linked note so the reminder points to what you need. Lock notes that contain sensitive information.

Review yearly

Each January, go through your recurring reminders. Delete outdated ones, and add new ones.

Common mistakes

  • Setting reminders for the exact due date.
  • Vague wording.
  • Too many reminders that get ignored.
  • Never reviewing them.
