Planning a Trip in Notes: Itinerary, Budget and Must-See Lists
How to organise trip research, bookings, daily plans and expenses in a few well-structured notes, and access them offline while travelling.
Trip planning generates scattered information: flight times, hotel addresses, restaurant tips, half-remembered recommendations. Collecting everything in a few well-organised notes makes the trip smoother and cuts stress.
Set up a trip folder of notes
Use one tag for the trip, such as lisbon-2027, and create a few notes:
- Overview and bookings
- Itinerary
- Places to see and eat
- Budget and expenses
- Packing checklist
- Useful phrases and info
Overview and bookings
Put the essentials in one note:
- Dates and destination
- Flights: numbers, times, terminals
- Accommodation: name, address, phone, check-in and out times
- Transport bookings: trains, transfers, car hire
- Confirmation numbers
- Emergency contacts and insurance details
Store sensitive details, such as passport numbers, carefully, and lock that note if needed.
Ideas list
Before deciding on a plan, collect ideas in a note: places you've read about, restaurants friends recommended, activities. Add the source for each. Tag with to-see, to-eat or maybe.
Build the itinerary
Once you know what's possible, create a day-by-day note:
Day 1 – Sat 10 April: Arrival
- 14:30 Land, transfer to hotel
- 16:00 Check in, rest
- 18:30 Walk around old town
- 20:00 Dinner: [restaurant]
Day 2 – Sun 11 April
- Morning: [museum]
- Lunch: ...
Keep days realistic. Leave breathing room, and don't pack in too much.
Group by area
To save travel time, group sights that are near each other on the same day. Note approximate travel times.
Add practical details
For each activity, note opening hours, ticket prices, booking requirements and how to get there. Check the details close to your trip, since they change.
Set a budget
Create a budget note, with categories:
- Flights and transport
- Accommodation
- Food
- Activities
- Shopping
- Emergency buffer
Estimate each, then track actual spending during the trip.
Track expenses on the go
Keep a running list in a note: date, item and amount. It's easy to update in a few seconds, and gives you a total at the end. Note currency and rough exchange rates.
Useful information
Save practical details:
- Local emergency numbers
- Embassy contact details
- Common phrases
- Tipping customs
- Public transport tips
- Plug type and voltage
Offline access
Notes stored on your device are available without a signal, which is helpful when roaming is expensive or unreliable. Before you leave, open your key notes to make sure everything is there.
Reminders
Set reminders for online check-in, passport expiry checks well in advance, and for anything that needs booking ahead. Add a reminder for the day before you leave: "Check documents, chargers, tickets".
Share with travel companions
Give your companions the key details, or agree who holds which information, so that no one depends on a single phone.
After the trip
Add a short summary: favourite places, things to skip, tips for next time. You'll thank yourself when planning the next trip, or when a friend asks for recommendations.
Common mistakes
- Overpacking the itinerary.
- Not saving confirmation numbers.
- Depending on internet access.
- Forgetting to check opening times.
