Notes for Freelancers: Keeping Clients, Tasks and Invoices Straight
A simple notes-based system for freelancers to track client briefs, deadlines, follow-ups and invoicing without a heavy project management tool.
Freelancers juggle several clients, each with their own requests, deadlines and payment terms. A full project management suite can be overkill, and a notes app can hold everything you need.
One note per client
Create a note for each client with a consistent structure:
Client: Acme Design
Contact Name, email, phone, preferred contact method
About What they do, how they work, tone of voice, brand notes
Rates and terms Hourly or project rate, payment terms (for example, 14 days), currency, agreed scope
Current projects Links to project notes
History Dates and key decisions
Tag with client and the client's name.
One note per project
For each project, create a note:
Project: Acme website copy Deadline: 30 October Brief: what the client wants, in bullet points Deliverables (checklist)
- Home page copy
- About page copy
- Two rounds of edits
Feedback log
- 12 Oct: Client asked for a more casual tone
- 15 Oct: Approved home page
Record every instruction
Note down what the client says, with dates, particularly changes to scope. If there's a disagreement later, you'll have a record. Follow up phone calls with a short email confirming what was agreed.
Track time
If you bill hourly, log time on the project note: date, task, hours. A quick line per session is enough. Add it up at the end of the week.
Deadlines and reminders
Set reminders for deadlines a day or two before they're due, and for meetings. Include the client and task in the text: "Acme: send draft home page copy".
Follow-up list
Keep a "Waiting for" checklist: things you're waiting for from clients, such as approvals, files and payments. Review weekly, and chase when needed.
Invoicing
Create an invoicing checklist:
- Invoice sent (date, number, amount)
- Payment due date
- Reminder set for follow-up
- Payment received
Set a reminder to chase overdue invoices, and keep a record of reminders sent. Check tax and legal requirements for invoices in your country.
Business admin
Add notes for:
- Expenses and receipts (tag
business) - Tax deadlines
- Marketing ideas
- Goals for the quarter
- Templates, such as proposal wording and email replies
Protect client confidentiality
Client information can be sensitive. Lock notes that contain confidential details, and be careful about sharing them.
Weekly review
Each Friday, review your client and project notes: what's due next week, what's waiting, and what needs invoicing.
Learn from each project
After finishing, add a short reflection: what went well, what to change, and whether the client is worth repeating.
Common mistakes
- Relying on memory for client requests.
- Not recording scope changes.
- Forgetting to chase invoices.
- Storing everything in scattered places.
