How to Set Reminders You'll Actually See in Time
Practical tips for setting note-based reminders that genuinely get noticed, rather than getting lost in a pile of notifications.
A reminder that fires at the wrong time, or gets buried under other notifications, is barely better than no reminder at all. A few small habits make the difference between a reminder you act on and one you dismiss without reading.
Set the reminder for before you need it, not exactly when
A reminder that goes off at the exact moment something is due gives you zero buffer to actually act — setting it 15-30 minutes (or a day, for bigger tasks) ahead of the real deadline gives you enough lead time to actually do something about it.
Write the reminder text as an action, not a topic
"Meeting" tells you almost nothing when the notification appears; "Call the printer about the delayed order before 3pm" tells you exactly what to do without needing to open the note for context. Write reminder text the way you'd want to read it half-distracted.
Don't over-schedule reminders for things that don't need them
A reminder for every single small task trains you to start ignoring notifications generally — reserve time-based reminders for things with a genuine deadline or a real cost to forgetting, and use a plain checklist (see our related article) for everything else.
Use recurring reminders for genuinely recurring tasks
For anything that repeats on a predictable schedule — a weekly bill, a recurring appointment — setting it once as a recurring reminder is both less effort and more reliable than trying to remember to recreate it each time.
Pair reminders with checklists for multi-step tasks
A single reminder is good for "do this one thing at this time." For anything with several steps, pairing a reminder with a checklist inside the same note means the reminder gets your attention, and the checklist tells you exactly what to do once you have it.
Review upcoming reminders periodically, not just when they fire
A quick weekly glance at what's coming up lets you catch a badly timed reminder or a task that's no longer relevant before it interrupts you unnecessarily — a small habit that keeps your reminder system trustworthy rather than noisy.
