How to Scan Whiteboards and Blackboards So the Writing Stays Readable
Practical tips for capturing whiteboard and blackboard notes as clean PDFs, dealing with glare, angles and faint marker, and organising meeting notes afterwards.
Whiteboards fill up with good ideas that vanish the moment someone wipes them. A phone scan preserves them, provided you avoid the usual problems: glare, a skewed angle and faded writing.
Fix the light before you fix the angle
The biggest enemy of a whiteboard scan is reflected light. Overhead lights and windows bounce off the glossy surface and wash out the writing.
- Step to one side so the reflection moves off the area you're capturing.
- Turn off or dim a light that's causing a glare hotspot, if you can.
- Close blinds on a bright window facing the board.
- Avoid the flash, which almost always creates a white blob.
Get the framing right
Stand back far enough to capture the whole board, then let edge detection find its borders. Keep the phone as parallel to the board as you can. A document scanner app corrects perspective, but the more square-on you shoot, the less correction is needed and the sharper the text stays.
Big boards: scan in sections
If the board is too wide for legible text in one shot, scan it in overlapping sections and save them as pages of one PDF, in reading order. Left to right, top to bottom is the natural order.
Handle faint marker
Red, orange and yellow markers photograph poorly. Choose an enhancement mode that boosts contrast, and check the result at full size. If the writing is faint, trace over key points with a darker marker before scanning, when you can.
Blackboards
Chalk is lower-contrast than marker, and dust catches the light. Shoot straight on, avoid reflections, and try a high-contrast or black-and-white enhancement so white chalk stands out on a dark background. Some people prefer to keep the colour version too.
Clean up before you scan
Erase old, stray writing that isn't part of the current notes, and remove anything stuck to the board that would clutter the scan.
After the scan
- Name the file with the date and topic, such as "2026-10-12-project-planning-whiteboard".
- Share it promptly with the people who were in the meeting, while everyone remembers the context.
- Add a line of context in your message: what the diagram shows, and any decisions made.
A quick checklist
- No glare on the writing.
- Whole board in frame, or overlapping sections.
- Text readable when zoomed in.
- Pages in the right order.
- File named and shared.
