Scanning ID Cards, Both Sides: Clean Copies for Applications and Verification

How to scan identity cards, driving licences and similar cards so both sides fit clearly on a page, plus sensible precautions for sharing them.

Banks, employers, landlords and government portals often ask for a copy of an ID card. A clear scan of the front and back saves a trip to a copy shop, but identity documents deserve extra care.

Check what's required

Before you scan, read the request. Some organisations want:

  • Front and back of the card
  • Both sides on one page, or on separate pages
  • Colour, not black and white
  • A specific file format or maximum file size
  • The whole card visible, including corners

Following the instructions exactly avoids rejections.

Getting a clean scan

  • Place the card on a plain, dark or contrasting surface, so edges are easy to detect.
  • Use bright, even light, and avoid glare from the laminated or holographic areas.
  • Fill the frame without cutting off corners.
  • Keep it flat and steady, with the phone parallel to the card.
  • Choose colour so that security features and photos are clear.

Front and back on one page

Some portals ask for both sides on a single sheet. Scan each side as its own page, then keep them consecutive in one PDF. If a single image is needed, check the app's layout options, or ask the recipient whether two pages are acceptable.

Check legibility

Zoom in on the name, number, date of birth and expiry date. If any are blurry or reflecting light, rescan.

Protect your identity

An ID scan contains valuable personal information. Consider:

  • Only sharing when needed, with a trustworthy recipient.
  • Adding a note on the copy, such as "For rental application only, dated 5 Oct 2026", where the recipient allows it. This makes misuse harder.
  • Not posting scans publicly or sending them over unsecured links.
  • Keeping scans out of your general photo gallery, where they might be uploaded or shared accidentally.
  • Deleting old copies once they've served their purpose.

Storing safely

Keep ID scans in a secure, private place, such as a locked folder, a password-protected file or an encrypted cloud storage. Avoid leaving them in chat histories.

Check the recipient

Confirm the email address or the upload link before sending. Scammers pose as officials to collect ID copies, so if a request seems odd, verify it through an official channel.

Expired or replaced cards

When a card is renewed, remove the old scan and replace it, so you don't send outdated information.

  1. Both sides captured, all four corners visible.
  2. Colour, sharp, no glare.
  3. Name, number and dates readable.
  4. Correct file format and size.
  5. Sent only to a verified recipient.
