Preparing Scans for Visa and Immigration Applications
How to scan passports, certificates and supporting papers to meet typical visa portal requirements, and the mistakes that cause delays.
Visa and immigration applications rely on documents, and small errors, such as a cropped passport page or a file that's too large, can cause delays. This guide covers general good practice. Always follow the official instructions for your specific application, because rules differ widely between countries and visa types.
Start with the official checklist
Every visa category has a list of required documents. Print or save it, and tick things off as you prepare them. Note:
- File types accepted.
- Maximum file size, per file and in total.
- Whether colour is required.
- Whether translations are needed.
- Whether documents must be certified.
Common documents
- Passport information page, and sometimes other pages with stamps
- Passport-style photographs
- Application forms
- Proof of funds, such as bank statements
- Employment or study letters
- Certificates and transcripts
- Marriage or birth certificates
- Travel itineraries and accommodation bookings
- Police clearance or medical certificates
Scanning a passport
- Scan the full page, including the machine-readable lines at the bottom, with all four corners visible.
- Avoid glare on the laminated page.
- Use colour, unless told otherwise.
- Make sure every character is sharp.
- Check the expiry date and any validity requirements, such as a minimum of six months beyond your travel date.
Certified copies and translations
Some documents need to be translated into a particular language by an accredited translator, or certified as true copies. Scan the translation together with the original, in that order, unless the instructions say otherwise.
Photographs
Photo requirements are precise: size, background colour, head position and no glasses or shadows. Many portals reject photos that don't comply. Use a plain background, even light and follow the exact dimensions given.
Keep sizes in check
Portals often limit file sizes. Scan text pages in black and white where colour isn't required, compress carefully and check that details remain readable.
Name the files as asked
Some systems want specific names. If not, use clear names, such as Passport-Info-Page.pdf and Bank-Statement-Sep-2026.pdf.
Keep a submission folder
Save every file exactly as uploaded, plus the confirmation email or reference number, in a folder for the application. You may need to refer to it later, at an interview or when applying again.
Check twice
Open each PDF and look through every page before uploading. Are dates readable? Are all pages present? Is the orientation correct?
Beware of scams
Use only official government websites or authorised agencies for applications. Be wary of anyone asking you to send passport scans by unofficial channels.
Timing
Start early. Some documents take weeks to obtain, and processing times vary.
Checklist
- Official checklist followed.
- Scans complete and sharp.
- Sizes and formats within limits.
- Translations and certifications in place.
- Copies of everything kept.
