File Naming Conventions for Scanned Documents: A System You'll Actually Use
A simple, consistent way to name scanned files so they sort correctly, are easy to search and stay understandable years later.
"Scan_0001.pdf" tells you nothing. A few months later, you'll have hundreds of files like that and no idea which is which. A simple naming convention fixes this, and takes just a few seconds per file.
Why naming matters
- Search: phone and computer search look at file names.
- Sorting: names that begin with dates sort in order.
- Sharing: a professional name looks better to the recipient.
- Memory: future you will forget the context.
A reliable pattern
Use this formula:
Date – Who or what – Type – Detail
Examples:
2026-10-05-Energy-Co-Electricity-Bill2026-03-14-Dr-Rao-Prescription2025-12-01-Rental-Agreement-Signed2026-06-Passport-Copy2026-09-Laptop-Warranty-Receipt
Put the date first, in year-month-day order
Writing dates as YYYY-MM-DD makes files sort chronologically automatically, and avoids confusion between day-month and month-day formats. If you only know the month, use YYYY-MM.
Keep it readable
- Use hyphens or underscores instead of spaces, if a system you use handles spaces badly.
- Avoid special characters such as slashes, colons and question marks, which many systems don't allow.
- Keep names reasonably short, so they display fully on a phone.
- Be consistent. Choose the pattern, and stick to it.
Include what you'd search for
Ask yourself: "If I wanted this again, what would I type?" Probably the company, the type of document and the year. Put those in the name.
Version and status
For documents that go through stages, add a marker:
-Draft-Signed-Final-v2
Names of people
For family files, include the person's name: 2026-05-Anita-Vaccination-Record. For business files, include the client or project.
Sensitive documents
Avoid putting numbers such as passport or account numbers in file names, because names show up in many places, like notifications and shared lists.
Renaming in bulk
If your backlog is full of vague names, start with the most important folders, such as identity, legal and financial documents. Rename a few each day. Don't try to fix everything at once.
Naming folders
Apply the same logic to folders: 01-Identity, 02-Home, 03-Money, 04-Health. Numbers force a sensible order.
Make it automatic
Rename the file straight after scanning, while you still remember the context. It takes ten seconds, and saves hours later.
Quick checklist
- Date first, year-month-day.
- Who, what, and type.
- No special characters.
- Consistent pattern.
- Named straight after scanning.
