Combining Several Documents into One PDF: When and How
When it makes sense to bundle related papers into a single PDF, how to order pages sensibly, and when separate files are the better choice.
Many applications ask for "a single PDF" of supporting documents. Even when they don't, bundling related papers can make life easier for you and for the person receiving them.
When to combine
- A job application: CV, certificates and references in one file.
- A loan or rental application: proof of income, ID and bank statements.
- An insurance claim: the form, receipts, photos and correspondence.
- A multi-page contract: every page, in order, with signatures.
- A study pack: notes on one topic gathered together.
When to keep separate
- The recipient specifies separate uploads for each document type.
- Files would be too large as one.
- You'll want to reuse a single document, such as your ID, in many places.
- Different parts have different privacy needs.
Plan the order
Think about how the reader will use the file. A sensible order is:
- Cover page or summary, if one is helpful.
- The main document, such as the form or letter.
- Supporting evidence, in the order it's referred to.
- Extra material, such as certificates or correspondence.
Number or name items so that the reader can find them.
Combining in a scanning app
The simplest way is to add pages to a single scan session: scan the first document, continue adding pages, then export one PDF. Check the page order before exporting.
Adding existing PDFs
If you already have documents as separate scans, check whether your app lets you reopen a scan and add pages. Otherwise, ask whether a separate PDF for each item is acceptable.
Keep quality consistent
Use the same scan mode and similar brightness across pages, so that the bundle looks tidy. Mixing dark and pale pages, or different orientations, looks careless.
Remove what isn't needed
Blank back pages, duplicate copies and irrelevant pages make a file longer and less professional. Delete them before exporting.
Orientation
Make sure all pages are the right way up, and portrait or landscape as the document was intended. A sideways page frustrates readers.
Naming
Use a clear name such as "Surname-Firstname-Rental-Application-2026". Avoid vague names like "scan001".
Privacy
Before you bundle, ask whether all the documents are necessary. Include only what the recipient needs, and don't add pages with unrelated personal details.
Checklist
- Pages in a logical order.
- Same orientation and similar quality.
- Unnecessary pages removed.
- File size within limits.
- Clear file name.
